About the Role

We are seeking a highly detail-oriented and proactive Finance & Operations Manager to oversee financial operations, payroll coordination, vendor management, shipment auditing, and operational processing in a fast-paced logistics environment.

This role combines full-cycle finance responsibilities with operational coordination and requires someone who thrives in highly process-driven environments where accuracy, accountability, and organization are critical.

The ideal candidate has strong experience with QuickBooks Online, U.S. payroll operations, AP/AR management, vendor negotiations, shipment auditing, and operational workflows involving high shipment and order volumes.

This is a high-impact role that directly supports the financial accuracy, operational efficiency, and day-to-day execution of the business.


Key Responsibilities

Finance & Accounting Operations

  • Review every shipment for quote and billing accuracy
  • Identify and dispute incorrect or unauthorized carrier charges
  • Prepare weekly shipment billing and invoice processing
  • Perform full-cycle Accounts Payable (AP) and Accounts Receivable (AR) functions
  • Create and send weekly invoices accurately and on time
  • Manage QuickBooks Online, including reconciliations and transaction reviews
  • Communicate regularly with external accountants and financial partners
  • Support quarterly tax preparation and year-end 1099 processes

Payroll & Compliance Management

  • Manage weekly payroll processes using Deel
  • Coordinate payroll communications across multiple U.S. states
  • Ensure payroll compliance, tax withholdings, and state-related requirements are properly managed
  • Handle new employee registrations and onboarding coordination
  • Coordinate background checks through Checkr
  • Manage annual company licenses, registrations, and commercial insurance renewals

Operations & Logistics Support

  • Process new orders using established operational procedures
  • Generate and manage:
    • BOL numbers
    • PRO numbers
    • Carrier assignments
  • Prepare shipping and logistics documentation as needed
  • Support additional operational tasks requested by the Sr. Operations Manager

Vendor & Carrier Management

  • Manage vendor relationships and carrier communications
  • Negotiate and dispute billing discrepancies independently with U.S.-based vendors and carriers
  • Monitor operational accuracy across shipments and logistics workflows
  • Maintain organized operational and financial documentation

Reporting & Administrative Support

  • Maintain operational spreadsheets, reports, and tracking systems
  • Work extensively within:
    • Gmail
    • Google Docs
    • Google Sheets
  • Follow and improve financial and operational SOPs
  • Ensure all processes are documented clearly and accurately

Requirements

Experience & Technical Skills

  • 5+ years of advanced QuickBooks Online experience, including:
    • Reconciliations
    • AP/AR management
    • Weekly invoicing
    • Financial tracking
  • 5+ years of highly detail-oriented operations experience managing high shipment or product volumes
  • Experience managing U.S. payroll across multiple states
  • Strong understanding of payroll compliance, state registrations, and tax withholdings
  • Experience managing company licenses, insurance renewals, and business compliance processes
  • Extensive experience with:
    • Gmail
    • Google Docs
    • Google Sheets
  • Strong operational documentation and SOP management skills

Communication & Problem Solving

  • Excellent written and spoken English skills
  • Comfortable negotiating directly with U.S.-based vendors and carriers
  • Strong analytical and auditing abilities
  • High level of discretion handling sensitive financial and employee information
  • Strong organizational and multitasking skills
  • Ability to work independently in fast-paced environments with frequent interruptions and shifting priorities
