About the Role
We are looking for an experienced Senior Business Operations Specialist to become the operational backbone of the organization.
This is a high-impact, high-ownership position supporting leadership across business operations, recruiting, people operations, investor relations, executive support, finance coordination, and AI-driven process automation.
Unlike a traditional operations role, this position is responsible not only for running business processes but also for continuously improving them through automation, AI agents, and scalable operational systems. The ideal candidate enjoys building efficient workflows, eliminating manual work, and creating systems that allow a growing company to operate at scale.
Key Responsibilities
Business Operations
- Coordinate day-to-day business operations across multiple departments.
- Manage calendars, scheduling, and cross-functional coordination.
- Support weekly leadership meetings, quarterly business reviews, and operational planning.
- Maintain internal documentation, SOPs, and operational playbooks.
- Manage vendors, software subscriptions, and business tools.
- Build operational dashboards and automate recurring reporting whenever possible.
Recruiting & People Operations
- Own the recruiting process from interview scheduling through onboarding and offboarding.
- Coordinate candidate communications and interview logistics.
- Maintain HR records and people operations processes.
- Help create a positive employee and candidate experience.
- Organize team culture initiatives for a distributed workforce.
Investor Relations & Executive Support
- Manage investor communications and inbox organization.
- Coordinate meetings, board materials, travel arrangements, and executive calendars.
- Track leadership action items and ensure follow-through across departments.
Finance & Administrative Operations
- Coordinate payroll support and expense management.
- Manage company expenses, receipts, reimbursements, and corporate cards.
- Coordinate vendor invoices and payment schedules.
- Support accounting and finance teams by maintaining organized operational records.
AI, Systems & Process Automation
- Become the internal expert on the company's operational systems and technology stack.
- Continuously identify opportunities to eliminate manual work.
- Build AI-powered workflows and automation using modern AI platforms.
- Develop AI agents and automated processes that improve efficiency and scalability.
- Measure operational improvements through time savings and workflow reliability.
Sales & Marketing Support
- Support outbound sales campaigns and communication initiatives.
- Draft and improve messaging for outreach campaigns.
- Assist with CRM management and sales operations projects.

Required Qualifications
- C2 / Near-native English proficiency.
- 8+ years of experience in Business Operations, Operations Management, Chief of Staff, or similar operational leadership roles.
- Previous experience working in a fast-paced startup environment.
- Strong experience supporting multiple business functions simultaneously.
- Excellent organizational and project management skills.
- Exceptional written and verbal communication.
- Ability to independently prioritize multiple high-impact initiatives.
- Strong systems thinking and process improvement mindset.
- Hands-on experience using AI tools and building workflow automations.
- High level of integrity and discretion with confidential information.
- Comfortable working directly with founders and executive leadership.
Preferred Qualifications
- Experience building automations using Zapier, Make, AI agents, or similar platforms.
- Recruiting, HR, or People Operations experience.
- Experience supporting investor relations, finance, or professional services organizations.
- Experience implementing operational systems in growing startups.
- Experience working directly with executive teams.
